Getting started

  1. Add your Upwork profiles in Library → Profiles: name, expertise, description and keywords. Anyone on the team can apply from any profile.
  2. Add at least 10 samples in Library → Samples. Samples are links (Google Sheets, Docs, case studies): paste the link and write what it shows ("600 dental clinic contacts, Florida, verified").
  3. The admin adds at least 5 winning proposals that clients replied to in Library → Winning proposals. Writing unlocks after that.
  4. Write your agency knowledge in Settings: services, tools and process. Rates are only mentioned when a client asks.

Writing proposals

  1. Paste the job link first: if anyone on your team already applied, you see a red warning.
  2. Choose Short, Normal, Long or Detailed. Every option stays under Upwork's 5,000-character limit.
  3. Not sure about a job? Press "Check job match" for a 0–10 score. It uses 1 job-check credit.
  4. Use the "Ask for changes" box for edits like "shorter" or "mention Apollo". Each rewrite uses 1 credit.
  5. Press "Mark as applied" to add the job to your Tracking sheet.

Team & billing

  1. Add members in the Team tab and give each one proposal and job-check credits if you like.
  2. Change plan, switch to yearly or update your card in the Billing tab.
  3. If a payment fails, writing pauses until the card is updated. Your data is always kept.
  4. Agency plans: create teams in the Team tab. In Settings set the time zone and office/apply hours, or turn attendance off.

Frequently asked

Do I need my own OpenAI or ChatGPT account?

No. The AI is included in every plan. You never paste an API key.

Why do I have to add samples and winning proposals first?

So the proposals sound like you and not like generic AI. Before writing, every account needs at least 1 Upwork profile, 10 samples for different kinds of jobs and 5 winning proposals that clients actually replied to.

What is the job match score?

An optional check that scores a job from 0 to 10 against one of your profiles and its history: red 0–3, orange 4–7, green 8–10. It uses 1 job-check credit and we always ask before spending it.

What is a credit?

Proposal credits pay for a new proposal, a rewrite or an invitation reply. Job-check credits pay for match scores. Both refresh every month, also on yearly plans.

Can I give credits to my team?

Yes. The admin can give each member their own proposal and job-check credits, or let everyone share. The admin uses whatever is left.

Who can use the Upwork profiles?

Everyone on the team can apply from any profile, and add profiles and samples. Only the admin adds winning proposals, sees everyone's numbers and manages billing. Members see their own tracking and to-dos.

Is there a free trial?

We offer demos instead: send your Upwork link on the demo page and we may give you a promo code or a few one-time credits to try it.

Can I get a refund?

No. All payments are final, so please use a demo first if you are unsure. You can cancel any time and keep access until the end of the paid period.

Is my data private?

Each account is completely separate. Other customers can never see your profiles, samples, proposals or numbers.

Is this an Upwork product?

No. BidStaff is an independent tool. You still send proposals yourself on Upwork.
