Privacy Policy

This policy explains how Leads Lancer LLC ("we", "us") collects, uses and protects information when you use BidStaff (the "Service"). By using the Service you agree to this policy.

1. Information we collect

• Account information: your name, email address, username, password (stored encrypted) and agency name.
• Content you add: Upwork profile descriptions, samples and their links, winning proposals, job posts you paste, generated proposals, tracking data, to-do tasks, chat messages and profile pictures.
• Billing information: payments are processed by Stripe. We receive your plan, payment status and the last details Stripe shares with us; we never see or store your full card number.
• Usage and technical data: IP address, browser type, log-in times, attendance clicks and actions taken in the app, used to run and secure the Service.

2. How we use information

• To provide the Service: writing proposals, matching samples, tracking, analytics, reminders and team features.
• To send service emails: account, password reset, billing, deadline reminders and important changes.
• To keep the Service secure, prevent abuse and fix problems.
• To improve the product using aggregated, non-identifying information.

We do not sell your personal information, and we do not use your content to advertise to you.

3. AI processing

To write a proposal, the relevant job post, your profile description, samples, winning proposals and agency knowledge are sent to our AI provider (for example OpenAI) through their API. Under the provider's API terms this data is not used to train their models. We keep generated proposals in your account so you and your team can reuse them.

4. Who we share information with

• Service providers that help us run the Service: hosting, email delivery (SMTP), payment processing (Stripe) and AI processing. They may only use the data to provide their service to us.
• Your team: content inside your agency account is visible to members of that account according to their role. Other customers can never see your data.
• Legal reasons: if required by law or to protect our rights, users or the public.

5. Data retention

We keep your data while your account is active. If you cancel, your data is kept so you can come back; you can ask us to delete your account and data at any time by emailing help@bidstaff.com. Backups are cleared within 90 days.

6. Security

We use HTTPS, encrypted passwords, separated customer data and access controls. No system is perfectly secure, so please use a strong, unique password.

7. Your rights

Depending on where you live (for example the EU/UK under GDPR or California under CCPA), you may have the right to access, correct, export or delete your personal data, and to object to or restrict certain processing. Email help@bidstaff.com and we will respond within 30 days.

8. Cookies

We use essential cookies to keep you logged in and to protect forms. We do not use advertising cookies.

9. Children

The Service is for businesses and is not intended for anyone under 18.

10. International transfers

Your data may be processed in countries other than your own, including the United States, by us and our service providers, with appropriate safeguards.

11. Changes

We may update this policy. If the changes are significant, we will let you know by email or in the app.
